Key User – What Do We Mean by This?

Who is the Key User?

The Key User is the central contact person for all topics related to meddevo within your company. As a meddevo customer, your organization ensures that at least one person is assigned this role to guarantee optimal use and administration of our platform.

Responsibilities and Duties

1. Main Point of Contact for meddevo

The Key User acts as the first point of contact for all questions or issues related to using meddevo. Employees in your company should reach out to the Key User for initial support or guidance.

2. Training and Onboarding

One of the core tasks of a Key User is to provide introductions and advanced training for new employees, as well as to instruct existing team members in new tools or functionalities within meddevo.

3. Administrative Tasks

Key Users have extended rights within the software and can access the admin area, which is not available to regular Full Users (eTD Full Users). This enables the Key User to perform administrative configurations and assign permissions.

Special Rights and the Admin Area

Unlike standard user roles, Key Users have the following additional rights and access privileges:

  • Management of users and access rights (User Management, Access Control)
  • Administration of company roles and workspaces (Company Roles, Workspace Control)
  • Control and monitoring of processes and workflows (Workflow Management, Job Viewer)
  • Administration of documents and collections (Collection Management, Document-ID)
  • Use of special administration tools such as Log Viewer and Recycle Bin

This level of access gives the Key User significant responsibility for smooth operations and compliance within meddevo.

Onboarding & Key User Training

When a company starts using meddevo, the initial Key Users receive a dedicated training as part of the onboarding process, which covers the following topics:

  • User Administration / User Management
  • Compliance Center
  • Document-ID
  • Job Viewer
  • Header and Footer Template
  • Log Viewer
  • Recycle Bin
  • Company Roles
  • Collection Management
  • Workflow Management
  • Workspace Control
  • Access Control Management

This focused preparation ensures that Key Users can fulfill their responsibilities confidently and provide active support to other users.

The Key User plays a crucial role in the effective use of meddevo within your company. As main contact, trainer, and administrator, the Key User is a key factor in ensuring the successful adoption and management of the software.
